What a UK invoice has to include
For a sole trader or a partnership, an invoice needs a unique invoice number, your business name and address, the customer's name and address, a clear description of what you supplied, the date you supplied it, the invoice date, the amount owed, and the payment terms.
If you are a limited company you also need the registered company name as it appears at Companies House, and if you show directors' names you have to show all of them. If you are VAT registered you need your VAT number, the VAT rate applied to each item, and the total VAT charged. This generator lays all of that out for you.
VAT done the way HMRC expects
Pick whether your prices already include VAT or whether 20% should be added on top, and the totals recalculate. If you are not VAT registered, leave it off entirely and no VAT line appears anywhere on the document.
For construction work between VAT-registered businesses, switch on the domestic reverse charge and the invoice shows £0 VAT with the wording HMRC requires, noting that the customer accounts for the VAT themselves.
CIS deductions, calculated correctly
Under the Construction Industry Scheme, the contractor withholds tax from the labour element of your invoice only, never from materials, and always on the amount before VAT. Getting that wrong is one of the most common invoicing mistakes on site.
Turn CIS on, mark which lines are labour and which are materials, and the deduction is worked out properly at 20%, 30% or 0% for gross payment status. The invoice then shows both the total and the amount actually payable now.
Nothing you type is sent to us
The whole thing runs in your browser. Your business details, your client's details and your prices stay on your own device, and the PDF is built there too. We do not need your email to use the generator and we do not store your invoice.
Your last invoice is remembered locally so a refresh does not cost you ten minutes of typing. Use Start again to wipe it whenever you like.
Frequently asked questions
Is the invoice generator really free?
Yes. Build as many invoices as you like and we email you every one as a PDF. There is no signup, no trial and no card required. The only thing on the finished invoice is a small 'Made with Zappy' line in the footer.
Do I need an account?
No. The generator works without one. If you want your invoices saved, numbered automatically and chased when they go unpaid, that is what a free Zappy account adds, but it is optional and the generator does not ask for it.
Can I add VAT?
Yes. Choose whether 20% VAT is added on top of your prices or already included in them, and the totals adjust. There is also a domestic reverse charge option for VAT-registered construction work, which shows £0 VAT with the correct HMRC wording.
Does it handle CIS deductions?
Yes, and it does it properly. CIS is deducted from the labour element only, before VAT, at 20%, 30% or 0% depending on your status. Mark each line as labour or materials and the invoice shows the deduction and the amount payable.
Is my data stored anywhere?
The invoice is built in your browser, and your last one is kept in your browser's local storage so a refresh does not lose it. Start again clears it. When you ask us to email the PDF we keep that invoice and your email address so we can send it and so you can pick it up again later. We never sell it on, and marketing emails are a separate tick box you can opt out of at any time.
Can I put my own logo on it?
Yes. Upload a logo and pick an accent colour and the invoice is branded to your business. The logo is resized in your browser and never uploaded to us.
Does it work on a phone?
Yes. On a phone the form breaks into short steps with the preview at the end, and the finished PDF arrives by email exactly as it does on a laptop. Handy for invoicing from the van before you have driven home.
Can I use it if I am not an electrician?
Yes, anyone can use it. It is built by Zappy, which is an electrician marketplace, so the wording and the CIS handling suit electrical and construction work best, but nothing stops any UK trade or sole trader using it.
